Position Summary:

The Academic Services Administrator for the MSN, BS-DNP, and Certificate programs in the College of Nursing will be responsible for planning, organizing, and implementing a broad range of administrative and operational functions associated with the graduate programs. This role encompasses curriculum and program planning, course and event scheduling, accreditation support, recruitment, marketing, and continuous process improvement. The administrator will collaborate closely with faculty, staff, and college leadership to ensure seamless program operations, timely compliance with institutional requirements, and effective communication channels throughout the College of Nursing. This position reports to Academic Services & Clinical Compliance Manager.This position requires a Master's degree in education or a field of study related to the academic program, or a Bachelor's degree in those same fields with a minimum of two years of experience.

SB 1310: Substitution of Work Experience for Postsecondary Education Requirements

A public employer may include a postsecondary degree as a baseline requirement only as an alternative to the number of years of direct experience required, not to exceed:

  • (a) Two years of direct experience for an associate degree;
  • (b) Four years of direct experience for a bachelor's degree;
  • (c) Six years of direct experience for a master's degree;
  • (d) Seven years of direct experience for a professional degree; or
  • (e) Nine years of direct experience for a doctoral degree

Related work experience may not substitute for any required licensure, certification, or registration required for the position of employment as established by the public employer and indicated in the advertised description of the position of employment.

  • Strategically coordinate and manage processes relevant to the development, submission, and approval of new course offerings, new programs, and/or program, curricular, or course revisions for graduate programs.
  • Collect, gather, aggregate, and analyze quantitative and qualitative data to monitor student progression.
  • Collaborate with the Office of Assessment & Evaluation to help programs identify and utilize data that support accreditation requirements.
  • Develop, write, and deliver reports, presentations, and other documents as required for program operations and administration.
  • Oversee the preparation, review, and editing of a wide variety of written and electronic materials (e.g., forms, templates, student handbooks) related to academic instruction and program/course management.
  • Coordinate, plan, and schedule meetings and events to meet program objectives, including information/orientation sessions, prospective student interviews, orientations, and special work-group/task-force meetings.
  • Provide administrative support to ensure programs are meeting accreditation requirements (e.g. annual program review, program action plans, etc.).
  • Facilitate administration of DNP projects students.
  • Create and revise systems and processes for continuous program performance improvement, ensuring compliance from all parties involved.
  • Maintain and update Academic Program Support electronic file repository.
  • Participate in the development of course schedules and coordinate space requirements and classroom logistics to ensure effective delivery of instruction for all relevant courses and concentrations.
  • Coordinate and organize meetings and follow up with action items with program and/or concentration directors, as well as team and campus coordinators, to determine faculty and resource needs for program courses.
  • Schedule, arrange, attend, and conduct information sessions, educational fairs, and orientation as part of program marketing and recruitment initiatives.
  • Partner with HR to coordinate the recruitment, credentialing, and hiring of adjunct faculty.
  • Coordinate the adjunct interview process and maintain adjunct faculty database that includes specialty, certifications/licensures, education.
  • Coordinate the adjunct faculty assignments.
  • Collaborate with the Clinical Placement team on student placements and faculty assignments.
  • Facilitate the adjunct faculty evaluation process upon hire and annually thereafter and undergraduate as well as graduate catalogs, consolidated student handbook.
  • Oversee New Faculty Orientation program requirements and registration.
  • Collaborate with the Affiliation team to ensure affiliation agreements with external partners are processed.
  • Communicate programmatic changes to ensure they are reflected in outward facing communications (including the USF CON website, USF CON handbook, Graduate Catalogue).
  • Serve as a liaison between program administration and Office of Student Success (advising and admissions).
