Payroll Specialist (Finance)
Processes automated semi-monthly payroll for all exempt, non-exempt, and on-call employees
Reviews timesheets for accuracy and follows up as necessary (flex time, funding sources, holidays, holiday worked premiums, time off, etc.)
Ensures accurate preparation and input of data to the payroll system
Interacts with payroll vendor as needed to ensure payroll processing is running accurately
Processes various payroll adjustments, e.g., wage adjustments, garnishments, status changes, W-2, ACA information.
· Reviews payroll and related personnel costs for accuracy; implements review procedures and reports to ensure the accuracy of payroll and payroll allocations
Enters and verifies grant dropdowns for employees in One Point HRM/Payroll system
Audits payroll taxes, workers comp code, and deductions for accuracy
Generates payroll and grant reports for the Finance department
Verifies and distributes year-end W-2's
Files and maintains payroll records and related employee information in a confidential manner
Compiles data for monthly reports
Assists with annual EEO reporting
Identifies and analyzes problems and inefficiencies, recommends solutions and effects implementation
Addressing issues and questions regarding payroll from employees and leadership needed
Other like duties as assigned
Human Resources Responsibilities
Assist managers with onboarding process for employees and volunteers ensuring compliance with applicable laws and grant requirements.
Create and maintain personnel files for employees and volunteers.
Performs HRIS data entry, recording new hires, salary changes, separations, and other related information.
Assist in posting of internal and external job advertisements and interview schedules.
Participates as a team member in Human Resource activities and efforts to achieve overall department goals and objectives.
Assists employees and volunteers with routine department inquiries.
Assist with Monthly All Staff setup/presentations
Maintains department forms and related materials for distribution to employees and volunteers.
Attends meetings, trainings, and workshops as required.
Attend Peer Counseling Training (69-hour WEAVE provided training)
Maintain required social justice (8 hours per year) hours
Other Skills and Abilities:
Two plus years of proven experience as payroll specialist or payroll manager, preferably experience with multiple locations
High school diploma or equivalent; BS/BA in business, accounting or relevant field is a plus. PHR preferred
Solid understanding of payroll best practices
Very good knowledge of wage and hour laws
Ability to prioritize multiple tasks in a fast-paced environment
Strong time management skills and ability to work within strict deadlines
Good interpersonal skills and desire to be a team player
Outstanding organizational ability with great attention to detail
Trustworthy with attention to confidentiality
Excellent communication skills
Ability to work with minimal supervision
Ability to maintain a cooperative, professional demeanor with leadership, staff, and volunteers
Regular attendance
Proficient in MS Office and good knowledge of relevant software (preferably One Point, but experience with other provers is helpful) and databases
Certificates, Licenses, Registrations:
· A current CA driver's license and proof of auto insurance are required.
· Satisfactory results from DOJ background check (post employment offer requirement).

Work environment is a busy office setting in a two-story building with stairs and an elevator. May need to lift and carry 25 lbs., extend both arms above the head and/or reach below the waist, stoop, squat, crawl, bend the back to retrieve items, climb stairs, or use an elevator. Employee may also need to remain in one position (i.e. sitting or standing) for an extended period of time while completing work tasks. Must be able to efficiently operate a keyboard and mouse or adaptive equivalent, take notes; utilize desk tools such as phones or calculators, and utilize larger office equipment such as printers and copy machines.
