JOB DUTIES FROM OFFICIAL POSITION DESCRIPTION ON FILE
Provides secretarial & non-routine administrative support to Deputy Director of Sales: Performs non-routine administrative tasks to support sales related activities (e.g., independently formulates decisions &/or judgments involving non-legal interpretation of policies & procedures as they would apply to given situation to resolve problems, to prepare correspondence &/or reports or to carry out other assignments); responds to sales related correspondence; reviews & summarizes sales reports; represents supervisor at meetings as directed; communicates Deputy Director's decisions, directives &/or assignments to appropriate staff; represents department on agency committees; coordinates with retailer associations (e.g., completes registration for agency attendance at retailer association tradeshows, conferences & special events & confirms registration details with attendees; as directed, attends tradeshows, conferences & special events to provide support to Deputy Director & attendees; provides information to retailer associations for publications & articles; etc.); coordinates & tracks promotional tickets used by Regional staff for special events & retailer celebrations; monitors & coordinates promotional events as specified to qualify in the Retailer Incentive Program; assigns new retailers to groups for game segmentation; works directly with the public on a daily basis in execution of assigned job duties (i.e., has significant level of contact (e.g., face-to-face, telephone, customer correspondence, etc.) with the public).
Performs secretarial tasks: Prepares correspondence & reports; maintains confidential & routine files; maintains calendar for Deputy Director; makes travel arrangements for Deputy Director & departmental staff; takes minutes of meetings; schedules meetings for Office of Sales & assists in creating meeting agenda & assists in preparing meeting materials; handles sensitive telephone calls; channels calls to appropriate parties for response; creates & maintains reports & submits to supervisor for review; collects & summarizes information submitted by Regional Sales Offices; responds to general inquiries & provides information as directed.
Performs clerical tasks: Receives, opens, logs, distributes incoming mail; answers phone & screens calls; greets & directs Office of Sales visitors; maintains inventory of general office supplies & orders as needed; maintains files & retrieves information; prepares routine forms; prepares sales records retention & arranges transfers; coordinates maintenance of office machines; reads & stays up-to-date on Office of Sales policies & procedures; performs other duties & works on special projects as directed.
Completion of associate core coursework in secretarial science or business office applications from accredited career school or community college; 12 months experience in secretarial/administrative professional field. -Or 30 months experience or 30 months training in secretarial/administrative professional field. -Or 12 months experience as Administrative Professional 2,16872. -Or equivalent of Minimum Class Qualifications For Employment noted above.
