What You'll Get to Do!!
The Operations Coordinator has primary responsibility of ensuring staffing needs are met on their assigned contracts; coordinating all daily operational and administrative tasks for those contracts; serving as a key point of contact for employees and customer in resolving issues, specifically pertaining to payroll, expenses checks & travel arrangements, conducting research when assigned by their manager as well as participating in audits and/or test of new operational systems. Provides general, administrative and technical support for assigned contracts to include filling, creating and/or maintaining spreadsheets. Maintains a high level of confidentiality for daily business decisions and operational functions.
Key functions you will perform!
• Acts to assist in resolving employee and customer inquiries or requests
• Advocates the needs and interests of Managers and Employees with corporate headquarter departments to implement changes as needed
• Establishes and maintains lines of communication with all Corporate Departments, Employees and Customers
• Coordinates activities between various departments and Operations. Escalates unresolved issues to upper management.
• Provides administrative and technical support such as assisting with contract deliverables, responding to correspondence as dictated by the Managers.
• Reviews and reconciles expenses, including Business Unit's credit card, Vendor invoices and Employee invoices
• Ensures proper account codes are recorded on Employee reimbursement forms as well reviewing charge codes on Vendor and Employee invoice(s)
• Generates purchase orders, check requests, etc. Submits expenses to management for approval and processing. Follows-up with Accounts Payable on any discrepancies
• Retrieves data from various company databases and creates reports that will assist the Command Center Manager with day-to-day Operations. Information includes headcount by assignment, addition of personnel, terminations and transfers.
• Conducts administrative audits for the Command Center Manager to ensure required reports are submitted by Field Managers by due date, e.g., Delivery Orders Reports, Spot Reviews, etc.
• Coordinates and conducts internal audits for the Command Center Manager as required, e.g., employee emergency contact information, Unanet issues, Workday, HR, etc. and participates in company-wide administrative efforts
• Coordinate UC charter transportation with the MVM Command Center, Field Managers and the charter flight coordinator.
• Coordinate's travel needs for MVM ORR staff. Schedule's hotel, flight, and car rentals and prepares itineraries and resolves any travel discrepancies, changes, or necessary accommodations.
What you will need to have:
• Bachelor's Degree or equivalent experience normally obtained with 6 or more years related experience in the field of law enforcement, security, government contracting or business management.
• Two to three years' government contracting, administrative and customer service experience.
• Ability to interact effectively in multicultural settings
• Willing to be subjected to a government security investigation and able to meet eligibility requirements for access to classified information.
• Flexible with work schedule based on the needs of the operations/ candidate will have a cell phone to respond after hours and on weekend.
KNOWLEDGE, SKILLS, AND ABILITIES:
· Able to work a flexible work schedule including holidays, overnights, and weekends.
· Familiar with fleet management concepts, practices, and procedures.
· Highly motivated with exceptional time management skills to handle multiple priorities and follow through successfully.
· Strong organizational and interpersonal skills.
· Possess excellent written and verbal communication skills.
· Able to work independently and in a team setting.
· Able to maintain and safeguard sensitive and confidential information.
· Knowledge of tablet and smart phone technology.
· Ability to comprehend and speak (both) Spanish and English fluently.

· U.S. Citizenship
· Ability to obtain/maintain a Security Clearance
· Favorable credit check
