Sr Administrative Assistant (Finance)
The Northern Trust Miami office has an exciting opportunity for an experienced, pro-active Senior Administrative Assistant who is passionate about client service. Duties include but are not limited to scheduling, support of database management, processing and handling travel arrangements/expenses for Regional President and other Executives. Additionally, will assist in coordinating client events, client mailings & correspondence, and other miscellaneous duties as assigned.
Major Duties:
Provides administrative support to Regional President and other Regional Executives as needed with - 1) Client Contact: This includes written, in-person and phone professional interaction with clients, including but not limited to greeting them, connecting them with another team member, helping them directly with a question and scheduling. 2) Manages scheduling for Regional President, conference rooms and travel. 3) Supports database management through address updates and call reports 4) Processes travel expense reimbursements for Regional President. 5) Works on special projects, such as gathering, inputting and compiling information for reports as required. 6) May track or monitor expenses for the department. 7) Responsible for identifying and resolving problems within established guidelines. 9) Enjoys working collaboratively with others and as a team member but also independently. 10) May assist and support building out events for clients and partners.
Qualifications:
Candidates should have 8 or more of years' experience as a senior administrative assistant in a corporate working environment or financial services. Must have proven ability to work independently, handle multiple tasks simultaneously and demonstrate positive and professional interpersonal interaction. Excellent oral and written communication skills must be a self-starter . Ability to interact with all levels of the organization - Ability to multitask and prioritize - Proficient in Microsoft Office (Word, Excel. Concur and Power point) - Prior experience supporting executives is highly preferred.
