HR Coordinator (Project Management)



HR Coordinator

The American College of Financial Services accepts applications for an HR Coordinator position within the Human Resources department. Reporting to the Senior HR Business Partner, the HR Coordinator is responsible for various high-level administrative and general HR functions and provides support across all HR functional areas. S/he serves as a critical point of contact for faculty and staff regarding general HR inquiries, programs, and processes.  S/he coordinates HR projects, team meetings and events, and assists with the onboarding process for new hires.

Duties & Responsibilities:

  • Assists in coordinating activities, events, information meetings, and various training programs, including registration and tracking
  • Creates and distributes HR Meeting Agendas and monitors follow-through
  • Assembles and distributes new hire swag (College logo merchandise) bags
  • Maintain I9 accuracy, compliance, and proper maintenance of I9 forms
  • Establishes, organizes, and maintains personnel files and other department records, ensuring accuracy, confidentiality, and proper retention and destruction
  • Manages HR purchase requisitions, verifies and processes department invoices, reconciles credit card statements, processes reimbursement requests for department staff and visiting candidates, and maintains receipts
  • Regularly inventories and replenishes HR department supplies and merchandise.
  • Tracks status changes, coordinates the quarterly creation and distribution of College faculty and staff directory.
  • Completes employment verifications
  • Assists with recruiting (coordinate interviews, greet applicants, etc.)
  • Performs administrative office functions (answers telephones and e-mails, processes mail, filing, photocopying) and processes large mailings and materials preparation
  • Supports HR VP and AVP and provides administrative support to the HR department, including preparing correspondence, reports, schedules, confidential materials, and various faculty or professional staff issues
  • Maintains and organizes new hire paperwork, complete folders as needed for new hires
  • Ensures accuracy of new hire documents, correct errors as needed, researches, and creates new forms and templates with the assistance of VP & CHRO
  • Administers Rewards and Recognition program, maintains gift card inventory, completes award certificates and tracks award recipients.

Temporarily Remote due to COVID - 19

  • Two years college with coursework in human resource management and three to five years administrative working experience in a service-oriented department, or an equivalent combination of education and experience

  • Working knowledge of Human Resource laws and regulations, including but not limited to FLSA, FMLA, ADA, EEOC, and employment law

  • Exceptional organizational skills with the ability to work independently, multi-task, and meet deadlines
  • A high degree of professionalism and good communication and interpersonal skills to effectively deal with faculty, staff, vendors, and customers using good judgment
  • Proactive decision-making skills and ability to take ownership and work as a contributing member in a service-oriented and team-based environment
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and database programs

  • Ability to maintain a high level of accuracy, attention to detail, and confidentiality
