This role must be filled in one of the following locations:
Portland, Seattle or Salt Lake City.
· Oversees all Records and IG operations for a client with multiple sites nationwide
· Responsible for the direct management of personnel, and other company assets within those accounts
· Work with the Regional GBTS Director to increase revenues, control costs, achieve budgeted profit, and exceed client expectations for service
· Responsible for proactive management, Records staff development, training programs as well as providing a high-level customer interface
· Expected to uphold the Standards of Service and best practices developed by Epiq
· Work hand-in-hand with a cross-functional team of local and national Operations, Technology, Human Resources and Account Management professionals to ensure continuity and consistency, while adhering to Firm-specific office needs
· This position will provide leadership at the national and site level to ensure effective, consistent implementation of Firm initiatives and services across all offices domestically.
RESPONSIBILITIES:
Client Relations:
· Oversee/review completion of monthly management report
· Regular site visits/meetings with key contacts
· Assist RD with scheduling of semi-annual social event with key contact (lunch, dinner etc.)
· Assist with preparation, presentation, and review of annual business review presentations
Human Resources:
· Recruit, develop and train site management and site personnel
· Conduct frequent visits to account base to monitor employee growth and development
· Assist with current programs and help develop new marketplace training initiatives
· Conduct one-on-one developmental sessions with all direct reports to build more effective communication, to more clearly understand training and development needs, and to provide guidance to each individual as to how to improve his/her management skills
· Provide coaching and counseling in accordance with Epiq's progressive discipline policy
· Utilize Epiq University training programs to deploy for team development
· Maintain Open-Door policy with all employees
Financial
· Support Director of National Accounts with managing the overall profitability of account base including management of labor, and all other Epiq operating expenses
Operations
· Manage day to day scheduling and development of team so all sites are fully staffed
· Prepare and present monthly management reports and other client correspondence
· Prepare and submit site payroll
· Conduct Site Audits and assist with correcting deficiencies
· Develop relationship with key contact and act as high level primary point of contact for any issues
· Ensure that provided technology is being utilized and all Epiq employees are using to firm standards
· Display high ethical standard, integrity, work ethic, and loyalty
Qualifications:
· Certified Records Manager certification required (CRM)
· Bachelor's Degree preferred
· 5+ years RIM and/or IG experience, preferably in the legal vertical and working with large, multi-office firms
· Experience developing, planning and implementing RIM/ IG Programs (electronic & paper), including records retention
· Knowledge of various RIM and IG principles, practices and types of work product produced by common areas of law practiced in law firms
· Working knowledge of Microsoft Office software
· Working knowledge of common RIM and IG software programs (Accutrac, LegalKEY, WRM/iRM/iManage Govern) and/or RIM software modules from time and billing software programs (Elite, CMS, Aderant, etc.).
· Working knowledge of common Document Management System programs (iManage/FileSite, eDocs, WorldDocs, NetDocs, etc.).
· Excellent oral and written communication skills
· Ability to write and implement standard operating procedures (SOPs)
· Ability to share best practices and process improvements
· Ensure service standards and Service Level Agreements (SLAs) are met
· Ensure consistent communication and problem solving for all offices
· Provide a uniform approach to sourcing, recruiting, developing and retaining our most valuable assets, our employees, for all Firm offices
· Ensure timely and accurate client reporting
Job Requirements:
· Ability to travel to all client locations, as assigned
· Managing Vendors (Shredding and Offsite Storage)
· Maintains current knowledge of emerging RIM and IG trends
· Flexibility in schedule to accommodate sales and operational needs
· Be personable, articulate, knowledgeable and professional in presenting oneself in a professional setting
· Ability to learn skills quickly
· Flexibility in dealing with simultaneous projects
· Attention to detail
· Ability to function with a high level of patience, tact and diplomacy in handling any "complaint" situations
· Ability to lift or move 40 lbs. or greater
