Customer Service Representative - Woodstock Farms - Hybrid (Finance)



Job Overview:

Provides support to customers and the sales team by performing the following duties.

Job Responsibilities:

  • Ensures all orders received, through EDI, emails and phone are processed in a timely and accurate manner. Ensure any changes or revisions to orders are properly documented and communicated. Provide necessary documents to operations/warehouse department. 30%
  • Responsible for establishing and maintaining effective communication with all customers regarding price discrepancies, out of stocks and potential shipping delays. 15%
  • Ensure all customer related documentation is complete and filed. 10%
  • Processes RMAs and credits. When necessary forward credits to customers and corporate finance. 5%
  • Answer incoming calls. 5%
  • Oversee/manage Papervision 10%
  • Oversee the resolution of all customer complaints. Ensure communications are comprehensive and thorough. Report all complaints to supervisor when applicable. 5%
  • Provide customers missing or misplaced documents including but not limited to invoices and BOLs. 5%
  • Provide effective support to sales team. 2%
  • Greets and screens visitors and telephone call and notifies staff members or records and relays messages. Monitors admittance to facility assuring admittance is authorize employees and vendors only 5%
  • Attend and participate meetings as required. 5%
  • Complete reports and maintain documentation as required. 2%
  • Complete miscellaneous customer care functions and special projects as assigned.1%
  • Performs other relevant job duties as required.

Job Requirements:

Education/ Certifications/or Equivalent combination of education training and experience:

  • High School diploma or GED equivalent

Experience:
  • One to two years related experience and/or training; or equivalent combination of education and experience
    System Implementation preferred

Knowledge
  • Knowledge of Microsoft Excel; IDS systems; Power Sell software; EDI software and Microsoft Outlook

Skills/Abilities:
  • Oral and written communication skills, time management, 10 key skills

Language Ability:
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
  • Ability to write routine reports and correspondence
  • Ability to speak effectively before groups of customers or employees of organization

Math Ability:
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs

Reasoning Ability:
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
  • Ability to deal with problems involving several concrete variables in standardized situations
  • Good judgment is required for this position as there may be times when direct supervision may not be immediately available.

Work Environment:
  • Woodstock Farms: Ability to work in an environment containing tree nuts, peanuts, soy, wheat, sesame, milk and different spices like pepper, chili, etc.
  • Hybrid Role:
    • This position follows a hybrid schedule working in office (3) days per week. The acceptable split between onsite and remote work is determined by the manager. Hybrid associates may choose to work from an office on a more frequent basis than required.

Physical Environment/Demands:
Office Roles:
•Most work is performed in a temperature-controlled office environment.
•Incumbent may sit for long periods of time at a desk or computer terminal.
•While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear.
•Incumbent may use calculators, keyboards, telephones, and other office equipment in the course of a normal workday.
•Stooping, bending, twisting, and reaching may be required in the completion of job duties.
