Administrative Assistant (Administrative)



Elite Maintenance & Tree Service (EMTS) is a professional landscape management company that maintains landscapes and irrigation systems for commercial properties. We continue to celebrate over 30 years of business since the establishment of what began as a small home-based landscape maintenance company in 1987. EMTS is looking for an Elite Administrative Assistant in our Clovis Headquarters branch.

GENERAL JOB SUMMARY
The Administrative Assistant is responsible for the daily tasks of the remote branch performing clerical duties necessary to accommodate the customer, vendor, and branch personnel. The Administrative Assistant will work with the branch manager to assure branch deliverables are accurate and met in a timely manner.

CORE AREAS OF RESPONSIBILITY
1. Customer service
2. Timecard entry/review
3. Payable and Accounts Receivable Entry
4. Assist HR department in Onboarding Employees
5. Assist supervisor as needed

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
1. Bi-lingual: Fluent in Spanish speaking, writing and reading required
2. Proficient Microsoft Office Suite, Strong Excel skills
3. Familiar with basic accounting and payroll practices
4. Effective listening skills and ability to understand expectations of tasks to be performed
5. A positive attitude when faced with challenges
6. Work in an organized and proactive manner
7. Effective and professional communication skills; verbal and written
8. Detail oriented, able to multi-task and be flexible without supervision
9. Work cooperatively and collaboratively both, independently and as part of a team (team oriented)

EDUCATION AND EXPERIENCE
At least a High School Diploma or GED required and a minimum 2 years of experience working in an office setting, preferably in an administrative or clerical role in the construction industry and/or a related field.

CORE AREAS OF RESPONSIBILITY
1. Administrative Duties
Customer service to clients and account managers
Support time entry and verification for work hour reports
Perform other administrative support tasks, including updating and sorting files, drafting and proofreading correspondence, and conducting research
Supports team by performing tasks related to organization and strong communication.
Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
Assist in the preparation of regularly scheduled reports using excel
And other duties as assigned
