ASSOCIATE CME AND EDUCATION PROGRAM COORDINATOR (Education)

The AAN works closely with the American Brain Foundation, housed in the Academy's headquarters.
POSITION SUMMARY:
The Associate CME and Education Program Coordinator (Associate CME and Education Program Manager) is responsible for supporting the AAN as an accredited provider and accountable for supporting the Continuing Medical Education (CME) compliance, tracking, reporting, and training. This position also provides support for the American Board of Psychiatry and Neurology (ABPN) continuing certification compliance and administrative support for the Education Committee and NeuroTracker resource.
ESSENTIAL ACCOUNTABILITIES:
Accreditation - Compliance and Documentation
• Implement accreditation policies and procedures
• Stay consistently up to date on accreditation and CME requirements and notify AAN staff and/or physicians when changes occur, ensuring all programs and documents meet accreditation and CME standards
• Organize and maintain compliance records
• Maintain a detailed and accurate schedule of each educational program and their activities that then informs when tasks are due
• Maintain and constantly update (in collaboration with staff across the AAN) all policies, procedures, activity files, and minutes in compliance accreditation, CME, and AAN requirements
• Collect data for annual accreditation review, complete review and analysis, and submit to external agencies
• Serve as documentation historian by collecting, organizing, and tracking documents at the close of each CME program across all departments within the AAN; Complete ongoing CME program evaluation and suggest improvements
• Draft re-accreditation materials for internal review and feedback prior to submission
Accreditation - Training and Communication
• Assist in the development and offer regular training sessions for all AAN CME products owners and related staff on the accreditation and CME requirements
• Assist in processing joint provider applications including reviewing for completeness, distributing for review/vote, tracking, and collection of all materials following the joint provider activities
• Interview CME staff quarterly regarding CME improvements and document changes
• Review marketing documents for accuracy in relation to accreditation and CME requirements
• Serve as resource to co-workers, CME planners (members) and CME faculty who have questions about requirements
Continuing Certification
• Understand ABPN requirements in relation to the AAN education activities, create and update processes for requirements, track and archive documents for compliance, coordinate the data in relation to ABPN Continuing Certification approval
Endorsement
• Review applications for completeness, distribute for review/vote, track, and collect all materials. Review external marketing materials in collaboration with AAN staff to ensure compliance.
• Maintain and update AAN endorsement policies and processes
Education Committee
• Provide support for Education Committee activities and workgroups, includes: external meeting and call planning and coordination, monthly education team meetings, agenda coordination, budget management and reconciliation, onsite staffing, correspondence, and preparing minutes and board reports
• Assist in staffing work groups and related projects as needed
NeuroTracker Coordinator
• Assess and update NeuroTracker as needed based on member needs
• Fields questions and assists members with questions and information regarding the use and access of the AAN custom tracking system for their medical ed credits, activities, certifications, awards, credentials, and more
• Reviews and analyzes the system and partners with AAN developers to enhance the database
• Ensures completeness and compliance of the monthly data feed to the American Board of Psychiatry and Neurology (ABPN) for certification

QUALIFICATIONS:
Education:
• Associates degree in Communications, English, Business or related field is required
• Bachelor's degree is preferred
Experience:
• Minimum of 3 years of experience in an administrative, clerical support, or related role is required
• Experience in Continuing Medical Education (CME) accreditation, academia, or medical school is preferred
Equivalent combination of education and experience beyond the minimum requirements may be substituted for qualification requirements
Additional Knowledge, Skills and Abilities:
• Ability to provide high level of confidentiality given access to information is required
• Ability to manage multiple projects and flexibility to switch between on a frequent basis is required
• Ability to demonstrate a high level of commitment to customer service is required
• Proficiency in MS office suite including Word, Excel, Outlook is required
• Proficiency in PowerPoint is preferred
• Ability to work independently and self-manage workload is preferred
• Strong organization skills to work independently, with minimal supervision are preferred
ADDITIONAL POSITION INFORMATION:
FLSA Classification: Non-exempt
Travel Requirements: Some travel required – approximately 10%. Ability to legally travel outside of the United States, particularly but not limited to Canada.
Location: Minneapolis, MN and is identified as hybrid (required to work in the office with the ability to work remotely part of the week)
Schedule: Some evenings and weekends required
Physical Requirements: Standard office setting, with ability to sit for long periods of time, occasional use of stairs; regular use of computer and office equipment, lifting up to 10 lbs.
