Bid Coordinator (Finance)



OVERALL POSITION PURPOSE:

Enhance your proficiency in product knowledge and competitive analysis, refining your capacity to systematically collect, assess, and distribute bid documentation. Collaborate closely with Business Solutions Manger, business development managers (BDMs) and estimators to meticulously prepare bids. Additionally, play a pivotal role in establishing streamlined processes within the department, fostering organizational structure and operational efficiencies.

CORE TASKS:

  • Review all bid notifications with BDMs to determine ability to bid.
  • Create and maintain bid folders per TKAS, Inc. standards.
  • Works with BDMs and estimating staff to establish better processes to present bidding data and create the body of proposal.
  • Maintain bid log and pipeline to ensure information is updated on a weekly basis.
  • Upkeep of CMR/Salesforce to ensure alignment with all stakeholders
  • NI Proposal Preparation & Coordination with Manager, BDMs, and Estimators
    • Track deadlines to ensure the team is align
    • Ensure all necessary forms are in place at bid due dates

  • Audited Financials
  • State Registrations
  • Timely delivery of bid package
  • MODS/Services Proposal Preparation & Coordination with BDMs and Estimators
    • Track deadlines
    • Ensure all necessary forms are in place at bid due dates
    • Timely delivery of bid package
  • Maintain Contractor's License database and assist in preparing documentation / forms for new license acquisitions.
  • Maintain conference calendar & registrations
  • Submit proposals for review, complete Bid Forms and Scope Sheets as required.
  • Maintain or assist in the maintenance of current cost information on materials, supplies, and services purchased.
  • Assist other functions on request by preparing cost analysis of alternate design, procedural, or production methods that affect products in the marketplace.
  • Assist in the collection and analysis of data and the preparation of Annual Standard Cost Estimates and Annual Sales Price Goals.
  • Perform such additional tasks as may be assigned by the Head of Business Development.
  • Proficient at plan take offs/ estimating/ bidding/ proposal quantification
  • Ensures the scopes of work are correct in accordance with contracts, plans, specifications, subcontracts, purchase orders, etc.
  • Participate and add value as a member of the Sales Support department.
  • Engage in effective communication within and across departments.
  • Participates in Company Safety Program through safety meetings, audits, following good safe work practices and maintaining a safe and clean work environment.

Expected (Educational) Qualifications:
  • High School Diploma/GED; Two (2) years of college courses in Business Administration or related field desired
  • Minimum of 3 years of prior experience in an administrative role focused around sales and bids.
  • CRM/Salesforce experience (not required, but highly recommended)
