Maintenance Planner (Administrative)
What you'll do:
• Responsible for initial screening of incoming work orders, identification of scope, and analysis of required level of planning.
• Responsible for maintaining an accurate hierarchy in the CMMS (EAM).
• Write clear and concise work procedures.
• Be the principal contact and liaison between operations and maintenance, clearly communicate regularly so all our on the same page
• Long range and short range planning
• Plan the work and place it on the schedule in a timely manner such that machinery breakdowns are mitigated or eliminated.
• Conduct field walk downs to identify and document job requirements.
• Identify specific safety hazards that will be encountered in the performance of the proposed work.
• Ensure safety procedures, including lock-out/tag-out procedures are available to employees. Ensures that all aspects of the existing company safety policy are incorporated into the job plan.
• Estimate required hours on work order tasks, total work order duration, and skills required for performing the tasks.
• Convert and maintain procedures in standardized format.
• Plan jobs with standard level of detail for the given skilled trades workforce.
• Procure equipment and specialized tools required to perform work task.
• Maintain engineering or technical documents, specifications, and drawings.
• Determine and arrange for parts required to perform all proactive / project work to increase “wrench time” and maximize efficiency.
• Compile information into a job package that is ready for skilled trades – clearly communicates with skilled trades regarding critical steps in the process
• Print and deliver work orders to the skilled trades in conjunction with the weekly work schedule.
• Verify job completion and quality
• Verify that all closing codes and “As Found” / “As Left” fields have been entered on completed work orders and are entered into CMMS (EAM).
• Upon completion of jobs, communicate with skilled trades regarding ideas and procedures that would make future jobs more efficient
• Coordinate priority setting with the management team – places specific emphasis on obtaining the input of operations personnel in the setting of priorities
• Is able to accurately measure the maintenance backlog in its various forms and continually strive to maintain not less than 2 weeks' worth of ready backlog at all times.
• Ensure all work orders and maintenance log items are closed when work is finished.
• Participate in outage planning activities such as scope identification and control, scheduling, coordination, risk assessment, execution, and continuous improvement.
• Communicate with contractor resources directly on specific work orders assigned to the contractors and the performance expectations of the work order. Does not manage the contractors, but ensures that all of the details of the work order are clearly communicated and understood.
• Support Reliability Engineer with specific detail failure data and component configuration information.
• Participate with Maintenance Department personnel on improvement projects, particularly when they are related to the proactive maintenance plan (CBM and PM)
• Compile and analyze reports from CMMS (EAM) regarding the work execution management process.
• Verify that supervisors and craft personnel have adequate knowledge of maintenance procedure formats.
• Verify maintenance workflow continuity.
• Coordinate equipment downtime with operations.
• Keep all involved departments up to date on status of equipment activities
What you'll need:
• Computer skills required:
o Microsoft Office (Excel, Word, and Power Point)
o Email (Microsoft Outlook)
• Able to efficiently perform internet searches and research
• Able to physically maneuver within the plant and plant equipment regardless of location.
• Able to read and interpret vendor manuals and drawings
• Able to communicate clearly and effectively with shop floor personnel, vendors, OEM suppliers, and management personnel
• Ability to write detailed repair reports
• Able to develop and deliver a clear and concise presentation when required.

• High School Diploma or Equivalent
• Ability to efficiently operate current EAM/CMMS
• Minimum 5-years work experience in the skilled trades
• Strong mechanical/electrical aptitude
• Some level of supervisory experience is desirable
• Consideration will be given to individuals with an equivalent combination of education and experience.
