Project Coordinator (Finance)

POSITION SUMMARY & KEY RESPONSIBILITIES
This role will support two (2) - four (4) Senior Client Partners with business development and
engagement related activities including document production, database management,
reporting, research, calendar and time management and other administrative duties as
assigned.
With regularly shifting priorities, the incumbent must be adaptable and flexible and have a
strong sense of urgency. Due to the nature of the business, an attention to detail and a high
level of accuracy is required in this role. As we are a professional services firm, a client
service orientation, maturity, and a calm, composed demeanor is a must.
Project Coordination
- Support consultants in the management of engagement work by ensuring information
flow to/from clients, prospective clients, candidates, and between consultants by
establishing and administering basic workflow systems
- Maintain engagements using PSA, our financial management system which includes
creating engagements following client contracts and managing client invoicing
Document Production
- Compose correspondence and related documents from handwritten text or electronic
forms with a high level of accuracy using appropriate grammar, composition and
speed, often under tight deadlines
- Produce PowerPoint presentations (pitch decks), proposals, status reports, marquee
account plans, candidate assessments and documents including graphic and tabular
exhibits; collate and bind presentation materials
- Prepare candidate profiles and related materials for clients in advance of scheduled
client/candidate interviews, in-house or off-site
• Administrative Team Support
- Collaborate with peers and other colleagues to support the broader team; assist with
standard administrative duties, such as preparing and proofreading documents and
researching information
- Provide back-up support to other Project Coordinators during absences and busy
periods
- Participate in projects related to improving the efficiency of administrative processes
and team building
Consultant Time and Calendar Management
- Using Outlook, schedule external and internal meetings across multiple time zones
and respond to queries on availability, ensuring that the consultants' time is used
effectively
- Provide consultants with necessary briefing/preparatory material prior to meetings,
interviews and travel
Logistics Management
- Coordinate travel arrangements for consultants using the firm's external travel agency
while ensuring standard travel preferences are respected, options presented as
appropriate, and the firm's travel policy is followed
- Coordinate domestic and international engagement-related candidate travel
arrangements
- Review and verify accuracy of candidate expense submissions prior to approval,
processing and reimbursement
- Track and reconcile airline flight passes and credits
- Manage special events, meetings, Zoom presentations and video interviews
- Inform Receptionist of expected visitors and coordinate office and/or meeting room
space as required
- Inform other Korn Ferry offices in advance of consultant visits to obtain security
clearance (as required) and to reserve office and/or meeting room space
Data Management
- Manage electronic filing systems and paper/hardcopy filing
- Maintain and update consultants' business development activities, tasks and contacts
in Salesforce
- Maintain and update consultants' activities and engagement flow information in
Searcher, Korn Ferry's proprietary database, ensuring contact notes and documents
are included in the record and 'Searchflow' information is updated in accordance with
engagement activity
- Prepare monthly expense report for consultants following company guidelines using
Concur expense management software
- Assisting consultants in tracking various business performance metrics through the
consultants' performance dashboards and reports
Phone and Correspondence
- Answer, screen, route and, as appropriate, take messages from callers directed to
consultants, handling all interactions with the utmost professionalism, courtesy, and
efficiency
- Screen and route incoming mail for consultant's review, composing basic responses
to standard correspondence based on standing or special instructions
- Serve as a point of contact for administrative inquiries
• Research
- Prepare company overviews for account teams
- Research companies and develop target lists
- Provide support to the research team in candidate identification and profiling
- Assist with the preparation of candidate mapping and market intelligence
presentations
PROFESSIONAL EXPERIENCE/QUALIFICATIONS
• Minimum of 3+ years of senior administrative / project coordination experience, working
with one or more senior executives
• Prior experience in Executive Search or Professional Services firm is highly desirable
• Superb English writing and grammar skills
• Excellent PowerPoint skills; High proficiency in Outlook, Word, Teams, Excel, Adobe, and
Zoom
• Internet research skills
• Experience managing multiple and concurrent responsibilities and establishing and acting
against relative priorities, independently but within prescribed guidelines
• Familiar with time zones and planning travel itineraries
• Experience with meeting planning and event coordination
• General understanding of accounting & finance cycles within a corporate, publicly traded
company
• Technical skills and ability to learn new systems are a must: Salesforce, Concur
Expenses, SAP/PSA, Zoom / video conferencing, Teams, OneDrive, Office 365, and more
are used on a regular basis and are always changing.
