Summary
The primary function of this position to provide administrative support to the assigned executive team. This position is also responsible for coordinating travel, meetings and conferences, as well as collaborating cross functionally with various teams to ensure projects/assignments are completed efficiently, accurately, on time and within budget.
Essential Duties & Responsibilities:
Manage executives' calendars and schedule appointments independently.
Screen incoming calls and correspondence and respond when possible.
Compose and prepare confidential correspondence, reports, and other complex documents.
Organize programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.
Direct preparation of records such as agenda, notices and minutes of meetings.
Arrange complex and detailed travel plans and itineraries, compiles documents for travel-related meetings, and act as standby for scheduling or travel problems.
Assist with miscellaneous administrative duties inclusive of scheduling conference calls and meetings.
Prepare and distribute various reports using Word, Excel, Great Plains and Crystal.
Order and maintain office supplies when needed.
Prepare and submit department expense reports.
Create and update organizational charts.
Prepare Power Point presentations for use in Executive meetings, trainings, etc.
Track department time off requests.
Maintain department files.
Assist in departmental budget oversight.
Other projects and duties as assigned.

Education and/or Experience
High School Diploma or GED.
Associate's degree strongly preferred.
3+ years' experience supporting a senior level manager or executive required.
Demonstrated knowledge and advanced proficiency working with Microsoft Office Suite software including Microsoft Word, Microsoft Excel, Microsoft PowerPoint and Microsoft Outlook.
Must be able to effective handle multi-tasks and prioritize work to ensure high productivity.
Strong business acumen and the ability to assist in budget process.
Great Plains and/or Crystal experience a plus.
Ability to work independently under minimal supervision. Must be self-motivated.
High level of diplomacy, tact and discretion. Understands ethical issues and has a proven high level of integrity.
Disciplined and organized approach through proven organizational skills and experience. Must have outstanding organizational and time management skills.
Experience managing department projects through completion.
Experience scheduling international meetings via WebEX, Zoom, or TEAMs preferred.
