Admissions Data Coordinator (Project Management)



This position provides technical support in the areas of communication and data management for the Admissions Department. It is responsible for tracking statistical data and ensuring the accuracy, consistency, and timely delivery of recruitment-related information. The role serves as the primary administrator for the cloud-based Customer Relationship Management (CRM) system, including user access management, configuration of workflows, and support of day-to-day operations within the platform. It acts as the main point of contact for communication with vendors regarding the receipt and integration of prospective student leads, and serves as a liaison for implementing updates or enhancements to the CRM. The position is responsible for generating a wide range of reports from the CRM and related data sources for the Dean of Enrollment and other Admissions personnel, utilizing both built-in and third-party reporting tools. This position serves as the central source for recruitment data used across the Admissions Department and in reporting to senior University leadership.
Qualifications:
1. Bachelor's degree required
2. Management experience in an education environment preferred
3. Business systems/procedures analysis experience preferred
4. Proficiency in Microsoft Office software applications
5. Proficiency in institutional integrated database software and CRM highly preferred
6. Excellent analytical, troubleshooting, and problem-solving skills

Essential Functions:
1. Manage and facilitate reporting and enrollment analytics for the Admissions Department
2. Manage and facilitate daily admissions data processes, including lead intake and file management
3. Maintain accuracy across CRM and ERP systems through timely data imports, exports, and manual updates where necessary
4. Collaborate with other departments to ensure smooth data flow and communication throughout the enrollment lifecycle
5. Oversee all incoming recruitment leads, data integration, deposit processing, acceptance letter workflows, and overall CRM administration
6. Manage and execute data imports from the CRM into the University's Enterprise Resource Planning (ERP) system
7. Maintain a dotted-line reporting relationship to the Information Technology department to support alignment on system integrations, data infrastructure, and security standards
8. Participates on all working committees related to CRM development and implementation
9. Develop and implement all training for the data and records staff
10. Coordinate cross-department workflows to ensure accurate and timely communication of requirements to prospective students
11. Collaborate with other departments as needed to ensure high-quality communication and service to prospective students
12. Maintain communication with CRM and ERP system partners, both external vendors and internal stakeholders, to resolve issues and support system enhancements
